We use the Rotaready integration with Paycircle for live payroll processing.
For salaried employees who receive approved overtime, Rotaready exports a fully loaded labour cost (daily salary allocation plus overtime pay). Paycircle then imports this value whilst also calculating the employee's salary separately.
This results in the salary element effectively being counted twice, producing an inflated overtime payment.
Example:
Overtime: 4.5 hours @ £15.06
Expected payment: £67.77
Imported payment: £185.99
Rotaready have confirmed that they intentionally export the fully loaded labour cost, whilst Paycircle currently imports that value directly. We believe Paycircle should instead calculate the overtime payment using the hours and overtime rate supplied by Rotaready. The ideal behaviour would be for Paycircle to use the overtime hours and overtime rate supplied by Rotaready to calculate the overtime payment, rather than importing the fully loaded value.
This would remove the need for manual intervention before every payroll and allow the integration to function correctly for salaried employees who receive overtime.

Customer Challenge
The Rotaready integration is intended to automate the transfer of payroll data into Paycircle. At present, overtime for salaried employees cannot be processed automatically because the imported values are incorrect. Before each payroll is finalised we have to:
This introduces unnecessary manual work and increases the risk of payroll errors. We have investigated this with both the Rotaready and Paycircle support teams, who have confirmed that the current behaviour results from Rotaready exporting a fully loaded labour cost whilst Paycircle imports that value directly. |

Business Case
The Rotaready integration is promoted as a way to automate payroll processing and reduce manual intervention between Rotaready and Paycircle. At present, salaried employees who receive overtime cannot be processed correctly through the integration because Paycircle imports the fully loaded labour cost rather than calculating the overtime payment from the hours and rate supplied by Rotaready. This means every payroll requires manual intervention to identify affected employees, remove the imported overtime values and re-enter the correct overtime manually. This reduces confidence in the integration, increases payroll processing time and introduces an unnecessary risk of payroll errors. Implementing this enhancement would allow overtime for salaried employees to flow through the integration correctly, delivering the level of automation that customers expect from an integrated Access solution. |
